How do I turn my company documents into an AI assistant?

Write your rules down in plain words. Load those pages into a tool that reads only your files. Then let your team ask it questions. Three short docs get you started. Plan about two hours for the first build.
The assistant is the easy part. The pages are the work.

What does "AI assistant" mean here?
An AI assistant, in this post, is a chat box that answers from your own company pages. It does not guess from the internet.
Picture a new office hire who read your whole binder on day one. Ask about deposits and she flips to the right page. Ask about something you never wrote down and she says so.
That is the whole idea. Your pages go in. Your answers come out.
Which documents should you load first?
Start small. Most builders try to load everything and quit by Thursday.
Write three pages. Use Google Docs, which is free with a Google account.
- Who you are. What you build, where, for whom, and at what price range.
- Where you are headed. The three numbers you want to hit this year.
- What you have decided. A list of your rules. One line each, with a date.
Page three does the heavy lifting. It holds lines like these:
- Change orders get signed before work starts.
- No job starts without the deposit in the bank.
- The PM can approve a purchase up to a set dollar amount.
One written rule ends a phone call you would have taken ten times.
Save all three in one Google Drive folder. Name it Company Core.
How do you turn the pages into something your team can ask?
Use Gemini Notebook. Gemini Notebook is Google's tool that answers questions from your own files. You may still know it as NotebookLM.
Here are the steps.
- Go to notebooklm.google and make a new notebook.
- Open the Sources panel. A source is one file you hand the notebook to read.
- Add your three docs from Google Drive.
- Type a real question in the chat box.
Try this one first: "What have we decided about change orders, and when?"
The answer shows which page it came from. Check that page the first few times. Trust comes from seeing the match.
The free tier covers a build this size. Check the current plan page before you roll it out to a full team.

What will it get wrong?
Be clear on the limits before you hand it to your crew.
- It only knows what you wrote. A rule that lives in your head is not in the notebook.
- Old pages give old answers. Change a rule and you must change the doc.
- Loose files do not count. A doc nobody added as a source is unseen.
- It is not your lawyer or your CPA. Contract and tax calls still go to them.
Here is the useful part. Ask it, "What can you not answer from these docs?" The list it gives back is your next page to write.
A wrong answer is almost never a tool problem. Fix the page and ask again.
How do you keep it alive after week one?
Most company binders die on a shelf. This one dies the same way if nobody feeds it.
Keep the habit tiny.
- You make a call on a job. Add one line to the decision page.
- Do it from your phone, in the driveway, before the next stop.
- Give one person the job of catching rules you say out loud twice.
Then grow it slowly. Add one area a month. Pick the area your team asks about most. For many builders that is sales or production.
A fair warning on fit. If you run solo with no office help, skip this for now. Write the decision page anyway. Load it into a notebook when you make your first hire.
Questions Builders Are Asking
Do I need to buy software to build a company AI assistant? No. Google Docs and the free tier of Gemini Notebook cover the first build. Spend money later, once you know what your team asks most.
Is it safe to load company documents into AI? Load rules, steps, and prices you would hand a new hire. Leave out client names, bank details, and anything under a privacy promise. Read the tool's current privacy terms before you add more.
How long before my team stops calling me with the same questions? That depends on how many rules you write down. The tool can only answer what is on the page. Start with the five questions you hear most.
Will this replace my SOPs? No. It makes them easier to find. Your steps still have to be written by someone who knows the work.
What if my team will not use it? Start with one person. Hand it to your newest hire and ask what is missing. Their list tells you what to write next.
What's Next
Write your decision page tonight. Ten rules, one line each. That page is worth having even if you never open an AI tool.

One plain note. GO First Consulting, the parent company of Beyond the Bid, sets these notebooks up for builders as paid work. You can do the first version yourself with the steps above.
